Made for

  • Wholesalers
  • Online sellers with stock
  • Light manufacturers
  • Service firms

+ any UK firm that has outgrown the spreadsheet and is not ready for a big ERP

Where a growing firm loses the thread.

Most firms on spreadsheets are not badly run. They lose time and money in the gaps between the sheet, the inbox and the accounts.

Six gaps one system closes
  1. 01

    Stock nobody trusts

The sheet says one number, the shelf another, and every count turns into a debate.

  2. 02

    Orders chased by hand

Where an order has got to lives in someone's inbox, not where the team can see it.

  3. 03

    Invoices that lag the van

The goods go out today; the invoice follows days later, if someone remembers.

  4. 04

    Books done at month-end

A month of sales and bills re-keyed into the accounts, and the numbers never quite agree.

  5. 05

    Buying by gut

Reorders happen when a customer finds the gap, not before it opens.

  6. 06

    Leads in a notebook

Who to call back, and when, is in one person's head until they are off.

The product

One system, where each step leads to the next.

An order takes its stock, a delivery makes its invoice due, and the payment clears it, with the books posted as each happens. Every piece below is the app itself, from the sample company you can open after signing up.

Sales order SO-000011Sample company
A sales order in the sample company, partly shipped: 380 of 426 units gone, an order value of £921.00, an estimated margin of £681.22 at a cost of £239.78, where it is delivered, and its lines with what has shipped, what is outstanding and the stock held for it.
Sell · 01

Quote to cash on one page

Each order shows how far it has got, from ordered to paid, what it will make, and what the customer still owes. Quotes, deliveries in part, invoices, credit notes, refunds and service jobs, all on the same thread.

Replaces: order book · invoice template · chasing by email

StockSample company
The stock list in the sample company: each item with what is on hand, promised to orders and drafts, free, and on order.
Buy and hold stock · 02

Stock you can finally trust

What is on hand, promised to orders, free and on its way, item by item, valued at what it cost. Reorder points say what to buy before you run dry, and make the purchase orders for you.

Replaces: stock sheet · manual counts · guesswork

Books dashboardSample company
The books dashboard in the sample company: profit over the last twelve months and the bank in the books, then profit and income month by month.
Books · 03

Books that keep themselves

Every sale, receipt and payment posts its double entry as it happens, so there is no month-end re-keying. Profit and loss, the balance sheet, ageing, budgets and a cash forecast eight weeks ahead.

Replaces: month-end re-keying · stitched spreadsheets

PipelineSample company
The pipeline in the sample company: deals at the first two stages, new and qualified, each with its value, its close date and its customer, and each stage with what it is worth weighted by its likelihood.
CRM · 04

Leads to deals to orders

Leads and deals through a pipeline weighted by each stage, calls and tasks on every customer, and a quote made from the deal. When the quote is taken, the deal is won and the order follows.

Replaces: notebook · a CRM on the side

We manage fine with spreadsheets. Why change?

A spreadsheet does not know that an order took stock, that a delivery means an invoice is due, or that the payment cleared it. Here each step leads to the next, and the stock, the books and what customers owe follow without being typed twice.

Isn't an ERP a year-long project?

Not this one. Setting up is five steps: your kind of business, your tools and words, your company, your people and your spreadsheets. The sample company is there to learn on before you start your own.

Can we take our data with us?

Yes, on every plan: everything exports in one file whenever you like, and the REST API reads every record.

How is our data kept?

Each company's records are kept apart in a database of their own, and every change is recorded with who made it and when.

We need something built around how we work.
